GPS Insight has expanded your ability to schedule and be alerted to service reminders based on odometer reading, date, and hourly usage. These are helpful for things like oil changes, yearly inspections, and heavy equipment which is serviced and fueled based on hourly usage.

To launch the Maintenance application, choose Reports: Maintenance: Run Time: set here OR Account: Maintenence: Service Reminders

This brings up the Vehicle Maintenance Schedule which allows you to create and edit or delete maintenance reminders:

Click on “Add” under Brent to add a service reminder to replace the stereo subwoofer every 10,000 miles:

Then either click OK to see the changes or Cancel to quickly add many more without waiting for the screen to refresh:

Then it shows up with the appropriate number of miles for the scheduled service:

If the subwoofer blows tomorrow, you can change the maintenance and add a service note by clicking on its edit link:

You can then reschedule the next service accordingly, and note that for your account, a list of previously created service types is provided for easy input:

Scheduled, emailed maintenance reports can be automated by clicking on the vehicle group’s edit link on the “Alert Address” form on the right half of the screen:

Now Mark will receive alerts for ONLY the vehicles in “Mark’s Group.”

These alerts, and the ability to view and edit ONLY the vehicles in a single group can be maintained in this area. If you have a very large number of vehicles, and locations, this is very helpful. Clicking on a group name will re-load ONLY those vehicles for viewing:

These service reminders show up on the Run Time Report which tells the number of miles & hours each vehicle ran during the selected period of time (in this case one week):

Note that our new maintenance alert is there, and that multiple color-coded (by immediacy) alerts show up for each vehicle where one (or more) is set:

This capability gives your fleet administrators the ability to easily keep track of scheduled maintenance, a log of service performed, and an overall view of your fleet from a service standpoint. We will continue to add capabilities to this area of the GPS Insight website, to include cell phone integration (e.g. send a “maint brent oil complete” text message to automatically reset the service interval while performing the work, vs. logging in to do so) and more reports based on customer requests.
